Privacy Policy

Introduction

This policy applies to personal information collected by Lilleshall Hall Bowls Club and sets out the principles governing our processing of that information. This covers the way we use, keep secure and disclose it under the General Data Protection Regulations (GDPR 2018).

We have not appointed a Data Protection Officer to oversee our compliance with data protection laws as, in our circumstances, we are not required to do so.

Previously the club had asked individuals to given formal written consent to the holding of their personal data to provide the lawful base under GDPR. This is an annual form and the process would need to be repeated every year. The committee has therefore decided to adopt the Legitimate Interests Assessment Process. The Legitimate Interests Assessment has been completed and a copy is available for your information.

How Do We Collect This Personal Information?

All the information collected is obtained directly from you. This is usually when you apply for membership or annual renewal of club membership. Current members have already supplied their personal details in the past.

Personal Information We May Collect From You

  • personal contact details that allows us to contact you directly such as name, title, email addresses and telephone numbers
  • membership start and end date
  • images in video and/or photographic form
  • details of next of kin, and emergency contacts
  • medical conditions (optional)

Disclosure of Your Personal Information by the Club

We share personal information with the following parties:

  • Other members and friends of the club
  • Worcestershire Bowling Association
  • Bowls England

We do not disclose any personal information to the employees of Serco.

If requested by the appropriate authorities to comply with COVID 19 regulations.

If we are asked to share any other information we will ask your permission.

Information Access & Corrections

You need to inform the Club Secretary of any changes to your personal data.

You have the right of access under the General Data Protection Regulations to information we hold about you on our records.

Your data is held in paper form and on the personal computer of the Club Secretary.

Your data will be held as long as you are a member of the club. On ceasing to be a member of the club you may wish to be considered a 'Friend' of the club and the club will continue to hold your personal data on that basis, unless you decide to opt-out.

Security

We strive to protect the privacy and security of our database, and to maintain the reliability and accuracy of Personal Information. We will hold information collected by us on a computer and in other forms.

Although we cannot guarantee the security of all transmissions of personal information, especially where the internet is involved, we take all reasonable steps to ensure security of all transmissions. We will send all emails bcc (other recipients not shown) unless agreed otherwise. You need to accept the inherent security implications of providing information and will not hold us responsible for any breach of security or disclosure of information unless we have been proved to be negligent.

Photgraphs

We may take photographs of you attending matches or other events and may wish to use them for marketing or advertising or publishing in the local newspapers or the club website.

Opt-Out Choice

You have the right to withdraw at any time your agreement to any of the individual consent options.

You have the right to withdraw your consent to having any photos of you published.

You have the right to decide that you do not wish to receive information from us.

Policy Changes

The policy may change from time to time. If we make any major changes we will inform you by email or letter.
